Who we are
Kent Systems Africa ("we", "us") designs, builds and supports digital systems for governments, banks, schools, hospitals and businesses. We are responsible for the personal data described in this notice and handle it in line with Uganda's Data Protection and Privacy Act, 2019 and its regulations.
Our office is at Plot B26, Bukoto Crescent, Upper Naguru Road, Kampala, Uganda. You can reach us about privacy at kentsystemafrica@gmail.com.
What we collect
Information you give us
- Proposal request form: your name, role, organisation, work email, phone number, sector, the service you need, your timeline and your message.
- Email, phone and WhatsApp: your contact details and anything you choose to tell us.
- Job and internship applications: your CV, contact details, education, work history, references and anything else you include in your application.
- Working with us: names, job titles and contact details of your staff, plus the billing and contract details needed to deliver and invoice our services.
Information collected automatically
- Like most websites, our hosting provider may record technical data, such as your IP address, browser type and the pages you open, to keep the site secure and working.
- To display our typefaces, your browser downloads fonts from Google Fonts, which receives your IP address.
This website does not use advertising or analytics cookies and does not track you across other websites.
Data inside client systems
When we build or support a system for a client, the personal data inside that system belongs to the client. We handle it only on the client's written instructions, under the agreement we sign with them, and never for our own purposes.
How we use it
- To reply to your enquiry and prepare quotations and proposals
- To deliver, support and invoice the services you engage us for
- To manage our relationship with clients, partners and suppliers
- To consider you for a job or internship you applied for
- To meet our legal, tax and accounting obligations
- To keep our website and systems secure
We do not sell personal data, and we do not use it for automated decisions about you. We only send marketing messages if you have agreed to receive them, and you can opt out at any time.
Why we're allowed to
We process personal data only where the law permits it:
- Your consent, which you give when you send us an enquiry. You can withdraw it at any time.
- A contract, where we need the data to take steps you've asked for before signing, or to carry out an agreement with you or your organisation.
- A legal obligation, such as keeping tax and financial records.
Processing outside Uganda
Some of the providers listed above store or process data on servers outside Uganda. We use established providers with recognised security and data-protection safeguards. By sending us your details, you agree to this transfer for the purposes in this notice.
For client systems we build, we follow the client's data-residency requirements. Where the law or the contract requires it, the data stays in Uganda.
How long we keep it
- Enquiries that don't lead to work: up to two years, then deleted.
- Job and internship applications: up to 12 months after the role is filled, so we can contact you about similar roles. Ask us to delete yours sooner at any time. If you join us, your application becomes part of your staff file.
- Client and contract records: for the length of the relationship, and afterwards for as long as Ugandan tax and company law requires (generally five years for financial records).
- Technical logs: kept by our host for a short period, normally no more than a few months.
How we protect it
We protect personal data with access controls, strong passwords and two-step sign-in on our accounts, encrypted connections, and by limiting access to the people who need it. Our staff are bound by confidentiality. If a data breach puts your information at risk, we will notify the Personal Data Protection Office and, where required, you.
Your rights
Under the Data Protection and Privacy Act, 2019, you can:
- ask whether we hold personal data about you, and get a copy of it
- ask us to correct data that is wrong or incomplete
- ask us to delete data we no longer have a reason to keep
- object to, or ask us to stop, processing your data, including withdrawing your consent
- complain to the regulator
To use any of these rights, email kentsystemafrica@gmail.com. We will respond within 30 days and may ask you to confirm your identity first.
Not satisfied with our response? You can complain to the Personal Data Protection Office (PDPO), Uganda's data protection regulator, at pdpo.go.ug.
Children
This website and our services are for organisations and adults. We do not knowingly collect personal data from children under 18. If you believe a child has sent us their details, contact us and we will delete them.

We may update this notice when our services or the law change. The date at the top shows when it last changed. Significant changes will be highlighted on this page.
